Video calls used to feel like proof.
If the face matched and the voice sounded right, most people treated that as “confirmed.”
That shortcut is getting riskier.
AI tools can now imitate faces and voices well enough to create real problems in meetings, sales calls, support interactions, and those “quick favors” from leadership. The point isn’t that every Zoom call is fake. The point is that faking a believable moment is cheaper than it’s ever been — and busy teams are easy to rush.
Security takeaway: Impersonation is cheap. Verification is the premium.
The real problem isn’t AI. It’s trust shortcuts.
Most businesses run on fast assumptions:

Deepfakes and voice cloning don’t have to be perfect. They only have to be convincing long enough to get someone to:

Where impersonation hits first
You don’t need Hollywood production to cause damage. The easiest targets are the places where speed and trust matter most.
1) Finance and payments
A “leader” or “vendor” requests a bank change, a wire, or a fast approval.
The attacker’s goal: get the change pushed through before anyone double-checks.
2) IT and helpdesk
Someone claims they’re locked out, can’t access MFA, and need a reset “right now.”
The attacker’s goal: turn a helpdesk interaction into account takeover.
3) Sales calls and vendor relationships
A familiar “partner” asks for a proposal, contract revision, invoice update, or internal introduction.
The attacker’s goal: get useful information or redirect the business relationship.
4) Executive “urgent requests”
This is the classic social engineering combo: authority + urgency + secrecy.
Add a realistic face/voice, and a normal employee is far more likely to comply.
The avatar question: harmless, or a trust problem?
Avatars are not the same as deepfakes. Most are used with good intent — privacy, comfort, camera fatigue, accessibility.
But from a security standpoint, avatars also change expectations:
They normalize the idea that “a representation is close enough.”
That can blur an important line: who is actually present, and how do we know?
Even if your team uses avatars for legitimate reasons, you want a clear expectation that identity still matters — especially when money, access, or sensitive data is involved.
What this looks like in the real world
Most impersonation attempts don’t look dramatic. They look slightly “off”:

The request is urgent and oddly specific

They want secrecy: “Don’t loop anyone else in.”

They push for shortcuts: “Just do it this once.”

They resist verification: “I can’t take a call right now.”

They control the channel: “Only respond here.”

They ask for money, access, or sensitive data
Attackers don’t need a long conversation. They need a quick yes.
The red flags your team should treat as “verify before you comply”
If you only implement one improvement, make it this:
Any time the request involves money, access, or sensitive data — verification is required.
Here are the highest-signal red flags:

Urgency + secrecy

Unusual wording or behavior

Pushback on a callback or second confirmation

“I’m in a meeting — just do it and I’ll confirm later.”
That last one shows up more than people think.
The fix: a verification culture that doesn’t slow the business down
You don’t need paranoia. You need a system that makes verification normal and quick.
1) Use out-of-band verification for high-risk actions
If the request involves money, credentials, access, or vendor changes, confirm using a second channel.
Examples:

Call back using a known number (not the number in the message)

Confirm in an existing, established thread (not a new one)

Require a second approver for payment changes
The key: verification must be routine, not “awkward.”
2) Tighten meeting and collaboration basics
This doesn’t stop deepfakes directly, but it reduces opportunistic abuse and confusion:

Require authentication where practical

Use waiting rooms/lobbies for external calls

Lock meetings once key participants have joined

Restrict screen sharing and recording permissions
3) Strengthen identity and access where it matters
Impersonation is far less effective when access is hard to steal:

MFA (preferably phishing-resistant options when feasible)

Conditional access policies (device/location/risk checks)

Least privilege (limit what a single account can do)

Strong helpdesk verification procedures
4) Give employees a simple script
People hesitate because they don’t know what to say. Give them something they can use:
“Happy to help — quick check: company policy requires a callback/second verification for that request.”
And make it clear: verification is expected, not insubordination.
5) Leaders need to say this out loud
This one prevents incidents by itself:
“If it involves money or access, I expect you to verify me. I will not be offended.”
That removes the social pressure attackers rely on.
So… will AI replace your next Zoom call?
Probably not. But it will change what “proof” means in remote work.
Faces and voices used to be enough. Now they’re just signals — and sometimes signals can be faked.
Bottom line: Impersonation is getting cheaper. Verification is the new premium.
