1. Secret Keyboard Shortcuts

While common shortcuts like Ctrl + C (copy) and Ctrl + V (paste) are well known, Word has plenty of lesser-known shortcuts. Try these:

  • Ctrl + Shift + C / Ctrl + Shift + V – Copy and paste formatting.
  • Alt + Shift + Up/Down Arrow – Move an entire paragraph up or down.

2. Auto-Generate Placeholder Text

Need some filler text? Type =rand(3,5) and press Enter. Word will generate three paragraphs of five sentences each.

3. Hidden Clipboard History

Copy multiple things without losing previous ones. Press Ctrl + C twice, then open the clipboard history with Ctrl + Alt + V.

4. Smart Lookup for Instant Research

Highlight a word or phrase, right-click, and choose Smart Lookup. This pulls up definitions, Wikipedia entries, and related web results without leaving your document.

5. Reusing Content with Quick Parts

Save frequently used text or formatting as a Quick Part. Highlight your text, go to Insert > Quick Parts > Save Selection to Quick Part Gallery. Insert it later with just a click.

6. Dictation for Hands-Free Writing

Under Home > Dictate, you can use speech-to-text for hands-free typing, making it easier to write quickly.

7. Built-In Translation Tools

Need to translate text? Select a section, then go to Review > Translate, and Word will provide an instant translation.

8. Pinning Frequently Used Files

Always working on the same document? Pin it to your recent files list. Open File > Open, find your document, and click the pin icon next to it.

9. Navigating Long Documents with Outline View

For big documents, go to View > Outline to get a structured view of your headings. This makes it easy to jump between sections.
